UNSW Medicine is a national leader in learning, teaching and research, with close affiliations to a number of Australia’s finest hospitals, research institutes and health care organisations.  With a strong presence at UNSW Kensington campus, the faculty have staff and students in teaching hospitals in Sydney as well as regional and rural areas of NSW including Albury/Wodonga, Wagga Wagga, Coffs Harbour and Port Macquarie.

The School of Women’s & Children’s Health comprises of the clinical disciplines of Obstetrics & Gynaecology and Paediatrics. Clinical academics in the School are located at the Royal Hospital for Women, Sydney Children’s Hospital, St George and Bankstown Hospitals, with teaching contributions made in Paediatrics at the Sutherland, Liverpool and Campbelltown Hospitals.  The main administrative centre for the School is based at the Royal Hospital for Women and Sydney Children’s Hospital, Randwick.

The HDR Administrator provides support to the School Manager in the administration of research operations, including Higher Degree Researchers (HDRs).  This position manages all aspects of HDR administration with provision to support projects and events.

The role of HDR Administrator reports to the School Manager, with a dotted line relationship to the Education Support Team Leader, and has no direct reports.

About the role

  • $72-$82k p.a. plus (9.5% superannuation and leave loading)
  • 6 Months - fixed-term
  • Full-time


Specific responsibilities for this role include:

  • Provide general operational and administrative support to the School Manager in line with the School’s strategic plan for research
  • Respond to day to day enquiries in person, by email and telephone, from research students and staff in regards to research programs and administration, including enrolments, inductions, seminars, progress reviews and other relevant information
  • Collate and report on enrolments, progress and completion of the HDR students within the School
  • Provide assistance to HDR Review Panels including timetabling, staff and student liaison and online documentation within the School
  • Organise undergraduate teaching across the School as required by the Education Support Team Leader
  • Provide secretariat support to relevant Committees including preparation of agenda papers and documents, producing minutes and preparing draft correspondence
  • Liaise with the School Manager to coordinate space for research students and plan suitable accommodation for HDR students
  • Participate in projects to streamline and improve processes associated with the HDR portfolio and contribute to relevant projects to improve administrative efficiency
  • Establish effective relationships with internal and external stakeholders
  • Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others


  • Relevant degree and experience in research administration, or an equivalent level of knowledge and competency gained through any other combination of education, training and/or experience
  • Demonstrated experience in the provision of operational or administrative support in an academic research or student services environment
  • Proven high level organisational skills, including the ability to establish priorities, with excellent attention to detail
  • Excellent interpersonal skills and the ability to communicate effectively with a variety of internal and external stakeholders from diverse backgrounds and levels of seniority
  • Demonstrated ability to identify, analyse and solve administrative problems to provide accurate and appropriate outcomes
  • Competency in a range of computing skills and demonstrated ability to learn and implement new systems, including databases, internet, web and customer relationship management packages
  • Proven ability to work in a high volume, process driven environment with variable workflow whilst ensuring conscientious delivery of work at all times
  • Ability to work effectively with minimal supervision and manage competing priorities
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training
