We're looking for a Bookkeeper / Business Manager who is motivated to play an important role in supporting and collaborating with our leadership team.  We are looking for someone who has detail-oriented skills who will oversee our P&L, business planning, forecasting, audit, and tax requirements. Our ideal fit is very fluent with Xero, and can help us create systems and reports to establish a daily dashboard to manage payments, transactions, and account balances.

We are looking for a Part Time Bookkeeper / Business Manager, who will come and work with us on site eight hours a week, and we're open to flexible work arrangements for the remainder of the time. This will be an ideal job for you if you're an expert Bookkeeper or Business Manager, who is also aiming to balance other projects and a flexible lifestyle.

Job tasks and responsibilities

The main responsibilities of this role are to oversee the school's P&L, contribute to business planning activities, collaborating with management on creating forecast projections, coordinating with the audit team, and overseeing our tax and government grant activities.  This role primarily revolves around overseeing the day to day financials, creating forecast projections, and reconciling actuals with projections.

As part of this, the Bookkeeper is responsible for maintaining subordinate accounts by verifying and allocating transactions, as well as balancing accounts by reconciling entries making sure that nothing is lost or omitted in between.

The role would include, but not be limited to, oversight and ownership of the following areas:

  • Developing systems to account for financial transactions by establishing a chart of accounts; defining bookkeeping policies and procedures.

  • Maintaining subsidiary accounts by verifying, allocating, and posting transactions.

  • Collaborating with management in creating and reconciling forecast projections and budgets.

  • Balancing subsidiary accounts by reconciling entries.

  • Maintaining general ledger by transferring subsidiary account summaries.

  • Balancing general ledger by preparing a trial balance; reconciling entries.

  • Maintaining historical records by filing documents.

  • Preparing financial reports by collecting, analyzing, and summarizing account information and trends.

  • Complying with federal, state, and local legal requirements by understanding all regulatory requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.

  • Contributing to team effort by accomplishing related results as needed.

  • Becoming an expert with regards to financial regulations of educational facilities.

  • Developing systems, reports, and template within Xero to support all bookkeeping and business planning activities.

  • Being trustworthy, detail oriented, organised, and knowledgeable about our school's administrative duties.

  • Maintaining receipts and other financial documents in a highly organised, searchable way.

Other than accounting, the Bookkeeper would also:

  • Contribute to a smooth workflow to make sure that you are not behind on paperwork requirements and accounting demands.

  • Demonstrate excellent communication skills when meeting with leadership team for budget discussions, and checking how we are faring financially. In addition to this, your will communicate well with co-workers on a daily basis for smooth operations.

  • Work at pace, so that all deadlines are met well within necessary timeframes.

  • Work with leadership team to set standards for operational and communications efficiencies

Skills and experience

Ideally, you will have at least 5 years of experience bookkeeping for a fast moving organisation or team. You may also have the following:

  • A bachelor's degree in accounting or related field

  • 5 years experience working in accounts payable and receivable, general ledger, payroll and payroll reports

  • Strong knowledge of generally accepted accounting principles

  • Extensive experience with data entry, record keeping and computer operation

  • Proficiency in Excel and Xero

  • Experience in services related to payroll such as submitting payroll taxes

  • Strong understanding of business and income tax worksheets and computations

  • Experience in educational settings / facilities

  • Experience working in fast paced, entrepreneurial environments
