Our client is an international Medical device company with a reputation for excellence and a genuine commitment to people development with market leading products in the dental industry.

An opportunity now exists for a self-motivated, goal orientated candidate with experience as an Events Coordinator/ Grants Coordinator/Training Coordinator to join their team.

The Event Coordinator's primary role is to manage the logistics for events, including, training,Clinical meetings, KOL speaker tours, patient finding events and internal company conferences.

The Event Coordinator should have a proficiency in project management, event management, compliance, provide outstanding customer service, be professional and be able to build relationships with internal and external customers. Must be able to anticipate project needs, prioritise and meet deadlines with little or no supervision.  

Responsibilities of the role will include:

Managing identification of appropriate venues, negotiate contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signage.

Coordinate pre-event planning meetings and lead the project coordination of events. Ensure that work plans for each event, including tactics required to successfully hold event are clearly communicated.

Manage all aspects of pre-event planning including registration and housing logistics.

Coordinate resources to support the event, including; collateral materials, displays, presentation materials, press kits, booth graphics, direct mailings and email activities as appropriate.

Ensure that budgets and show requirements are aligned. Discuss tradeoffs and be confident enough to propose new ideas to the marketing team to improve the event planning and implementation process.

Ensure the Financial requirements and finance procedures are completed for each event.

Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.

Serve as liaison with vendors on event-related matters, and coordinate managing on-site production for events as necessary.

Coordinate faculty travel when necessary.

Provide key deliverables for events, including timelines, preliminary and final budgets, floor plans, booth layout etc.

Work with Marketing to ensure that presence at events meets branding guidelines.

Contribute to and leverage global standards and policies for planning events and convention.

Education and Experience Requirements:

  • Experience in pharmaceutical Sales & Marketing Organisations necessary
  • Strong project management communication skills
  • High awareness of pharmaceutical industry code of conduct and compliance regulations: ESSENTIAL
  • ZINC approval system
  • Disciplined execution and organisation skills
  • English language skills, written and verbal, essential.
  • Completion of Medicines Australia Code of Conduct
